Audits can be either automatically scheduled following completion or can be scheduled manually using the calendar functionality.
To schedule an Audit manually, from either the Audit Schedule (calendar view) or the Audit List select Schedule audit.
Select the audit Due date. The audit will show as Pending 7 days prior to this due date.
Next select the Audit name from the list of audits available.
Once you have selected the audit you are scheduling, the details at the top of the screen will up date to list the recurrence settings for the selected audit.
Click Next to continue.
You now need to select which locations need to complete the audit. Select the Location(s) from the list and click Ok.
Your selected Location will now appear in the list below this box. You can continue to select further locations as required. Once you have selected all the required locations, click Next.
The final step in scheduling your audits is to select the Auditor and Authoriser:
- Auditor – The user that will perform the audit and set the required Actions in the Action Plan
- Authoriser – The user that will review and authorise the audit
The Auditor and Authoriser can be the same person or they can be different people.
If you have selected more than one location, at the top of this screen you have the option to quick select an auditor and authoriser using the Same auditor and Same authoriser options.
The names selected in each of these two boxes will filter down and apply to all the locations you have selected.
Alternatively, you can choose different people to be the auditor and authoriser for each audit and location, using the drop downs displayed for each Location selected.
Only users who have the relevant permissions for the selected audit location will appear in these lists to select.
Once all audits have been given an Auditor and an Authoriser, click Complete. The audits will now be displayed in your Audit Schedule calendar view and the Audit List view and will be listed on the dashboard for the user assigned as the Auditor.
If an audit template has an automatic recurrence set, e.g. it is a monthly audit, the audit will automatically reschedule itself upon completion of this manually scheduled audit. This recurrence is set on the Audit Template and cannot be amended at the point of scheduling an audit.
